Before you start
Due to a Non-Disclosure Agreement, I am unable to share specific details or visual assets from this project. However, I can provide a high-level overview of my process and the challenges I addressed during the project.
Project summary
Designing a new feature for an existing platform to streamline annual employee evaluations, making the process more efficient and user-friendly for both employees and management.
Problem
The current evaluation process was inefficient and error-prone, leading to incomplete or incorrect documents, causing data inaccuracies, wasted time, and reduced effectiveness.
My role
As the sole UX/UI designer, I handled:
- User research & workshops
- User flows, mockups & prototypes
- Usability testing & refinements
Process
- Client meetings & employee workshops to understand needs
- User flows & preliminary mockups based on insights
- Prototype testing to identify and refine issues
- Final approval & handoff with comprehensive documentation
Solution
- Interactive online forms replace PDFs, allowing faster completion & feedback
- Simplified, structured process for managers & employees
Outcome
Though unable to test the final product, user & stakeholder feedback suggests a more efficient and streamlined evaluation process.
Lessons and challenges
- Aligning diverse manager approaches into a unified, intuitive process
- Balancing both stakeholder & employee needs while ensuring usability
General
Designing a new feature for an existing platform to facilitate and streamline the process of conducting annual employee evaluations, ensuring a more efficient and user-friendly experience for both employees and management.
Problem
The current process for conducting annual employee evaluations is not user-friendly, leading to incomplete or incorrectly filled-out documents. As a result, the client struggles with inefficiencies, data inaccuracies, and the need for additional time to correct errors, impacting overall evaluation effectiveness.
Role & responsibilities
As the sole UX/UI designer for this feature, I was responsible for conducting research, defining user flows, creating mockups and prototypes.
Process
The process began with a meeting with the client to define their goals and key design requirements.
Next, workshops were conducted with company employees to gain a deeper understanding of their needs and challenges.
Based on the gathered insights, user flows were designed, followed by preliminary mockups and a simple prototype.
Prototype-based user testing helped identify additional issues, leading to further refinements.
Once the necessary adjustments were made and the solution was approved by the client, the final mockups and comprehensive documentation were handed over to the development team responsible for implementing this phase of the project.
Solution
The final design streamlined every step of the process, from creation and form completion to approval. Instead of using a word processor to create the evaluation form and then uploading it as a PDF to the internal corporate portal, managers can now create an interactive form directly on the website. This allows employees to complete it quickly and receive feedback more efficiently.
Outcome
Unfortunately, after the design handoff, I was assigned to another project and was unable to see or test the final product. However, based on user and stakeholder feedback gathered during testing, I can assume that the implemented feature helped streamline the annual evaluation process, making it faster and more efficient for both employees and managers
Lessons & challenges
One of the biggest challenges was understanding the diverse approaches to the previous evaluation process, as each manager had their own ideas on how to conduct it. The goal was to consolidate these different perspectives into a unified process that would not only simplify the workflow for managers but, more importantly, create a streamlined and intuitive experience for the employees. Balancing the needs of both stakeholders while ensuring the process remained user-friendly for employees proved to be a complex but crucial task.
